Privacy Policy

This policy explains what happens to information you send through officeindependencesystems.com. It is written to be read, not to be survived — if something here is unclear, call and ask.
The short version: the only information we collect is what you voluntarily type into the demo-request form. It goes to one person — Joe — so he can call you back. We do not sell it, rent it, trade it, or feed it to an advertising network. This site sets no tracking cookies.
1. Who we are
Office Independence Systems is a registered trade name of QRA Enterprises Ltd, an Ohio company based in Cincinnati, Ohio. Throughout this policy, "we," "us," and "our" refer to QRA Enterprises Ltd doing business as Office Independence Systems.
2. What we collect
Information you give us
When you submit the demo-request form, we receive whatever you entered:
- Company name
- Your name
- Email address
- Phone number, if you provide one
- Trade and approximate annual revenue, if you select them
- Anything you write in the free-text field
Company name, your name, and email are required because without them we cannot respond. Everything else is optional and exists only so the conversation starts somewhere useful.
Information collected automatically
Along with your form submission we record the IP address it came from and the date and time. This is used to stop automated spam and for no other purpose. Our web host also keeps standard server access logs, which is ordinary for any website.
What we do not collect
This site runs no advertising trackers, no analytics pixels, no social media widgets, and no third-party marketing cookies. If a demo video or scheduling calendar is embedded on the page, that provider (for example Google or YouTube) may set its own cookies when you interact with it — see section 6.
3. How we use it
We use what you submit to:
- Contact you about the demo access or question you asked about
- Set up a demo account for you if you request one
- Answer follow-up questions and, if it goes that far, prepare a proposal
- Keep our own record of who we have spoken with
That is the complete list. We do not add you to a newsletter, enroll you in an automated email sequence, or use your information to build advertising audiences.
4. Phone calls
If you give us a phone number, we may call you about your request. Calls are placed manually by a person — we do not use autodialers, prerecorded messages, or automated voice systems. If you would rather not be called, say so on the call or email us and the number comes off the list.
5. Who else sees it
Your information is not sold, rented, or traded. It is shared only in these narrow cases:
- Service providers that make the site work — our web host and email provider — which handle the data only as needed to deliver those services. Demo requests submitted through the form are emailed and stored using Google Workspace, which means Google receives and stores that information under Google's own privacy policy.
- Legal requirements, if we are compelled by valid legal process, or where disclosure is necessary to protect our rights or someone's safety.
- A business transfer, if the business is sold or merged, in which case the information would move with it under this same policy.
6. Embedded content
Pages on this site may embed a demo video or an appointment-scheduling calendar hosted by a third party such as Google or YouTube. Those embeds are provided by the third party and are governed by that company's own privacy policy, not this one. If you book a time through an embedded calendar, the information you enter goes to that provider as well as to us.
When an appointment-scheduling calendar is embedded on the page (powered by Google Calendar), that embed loads directly from Google and may set Google cookies when it is displayed or interacted with. Those cookies are controlled by Google, not by us, and are subject to Google's privacy policy.
7. How long we keep it
Demo requests are kept for as long as there is a plausible business relationship, and reviewed periodically after that. If you ask us to delete your information, we will, except for anything we are required to retain for tax, accounting, or legal reasons.
8. Security
The site is served over HTTPS, form submissions are validated on the server, and the record of submissions is stored outside the publicly reachable part of the web server. No system is perfectly secure, and we will not pretend otherwise — but the information collected here is deliberately minimal, which is the most effective protection available.
9. Your choices
Email office@officeindependencesystems.com or call (513) 344-9774 to ask what we hold about you, correct it, or have it deleted. There is no form to fill out and no waiting period beyond the time it takes to reply.
Depending on where you live, you may have additional rights under state privacy law. We apply the process above to everyone regardless of location.
10. Children
This site sells business software to contracting companies. It is not directed at children and we do not knowingly collect information from anyone under 18.
11. Changes to this policy
If this policy changes, the revised version is posted here with a new "last updated" date. Material changes affecting how we handle information already collected will be communicated directly to anyone affected.
